Job Requirements

External Communication and Relationship Management

  1. Point of Contact for CEO and other stakeholders.
  2. Maintaining long term and result oriented relationship with stakeholders
  3. Take charge of PR articles and newsletters if required

Meetings and Appointments

  1. Manage Group CEO calendars appointments and meetings.
  2. Meet and Greet Group CEOs guests in the office.
  3. Arrange for meetings, organise food and other meeting requirements
  4. Book meetings and appointments
  5. Preparing minutes of meetings if required

Travel Arrangements

  1. Book tickets, hotel and arrangements and other travel logistics for Group CEO.
  2. Ask if there is a concierge service at the hotel on the destination and taxi arrangements
  3. Check on security arrangements
  4. Book tickets for the family (and and if required)
  5. Check visa requirements, covid regulations etc.

Other Arrangements

  1. Follow ups on issues every week and keep track in the calendar not to miss any deadlines on assigned tasks
  2. Keep contact lists and updates

Email management

  1. Keep track of subscriptions and payments over Group CEOs personal email
  2. Forward official emails to relevant departments (Finance, Investments etc.)
  3. Send emails on behalf of Group CEO and other departments
  4. Notify whoever needs to be aware of certain events and/or request or offers via email
  5. Keep an eye on Group CEOs email accounts and flag up any email that may be of interest to any specific department(Investment opportunities, media etc.)


  1. Daily messages and requests from Group CEO. These could be regarding calendar, travel, purchases, anything.
  2. From these messages, must make a priority list or delegate tasks to the relevant department or team member most suited to the task.
  3. Keep a note of all messages


  1. Online payments of Group CEOs personal bills
  2. Keep cash

Supervisory Responsibilities

  1. Managing Group CEOs personal driver based on his appointments
  2. Verify the spending and receipts of the driver
  3. Approve/reject leave requests of the driver based on business needs and inform HR

It might not be for you if

  1. You like to have a predictable routine
  2. You believe the Executive Assistant role is strictly a Monday to Friday 9am to 6pm job
  3. You are not a highly organized and structured person
  4. You do not have interest in blockchain and social media

About You

  1. Must be based in Dubai and available to work on-site
  2. 5 years experience in an EA role supporting C-Suite members is essential
  3. Ability to work to right deadlines
  4. Able to take instruction, work as a team, and autonomously
  5. Extremely organized, confident and self-directed
  6. Strong communication skills, both written and verbal
  7. Proficiency in office software and tools
  8. Discretion and ability to handle confidential information
  9. Enthusiastic, proactive, and a team player
  10. Flexibility to adapt to changing priorities and tasks

Additional Information:

  1. This position may require availability outside of standard business hours
