Summary
Key Responsibilities:
Executive Operations and Time Management
- Manage the COO’s calendar, travel, and expenses with a high degree of accuracy
- Coordinate and schedule internal and external meetings across senior stakeholders
- Prepare agendas, briefing materials, and follow-up correspondence on behalf of the COO
- Take detailed notes during meetings and capture decisions and key action items
- Track deadlines and ensure materials are accurate, current, and delivered on time
- Assist with organizational frameworks (e.g., OKRs) across Operations & Client Services and at the firm level, through tracking and coordination
- Support additional OpsCS-related work as directed by the COO
- Act as a first line of organization and prioritization for the COO’s time and commitments
COO Office Coordination, Materials and Strategic Support
- Coordinate closely with the Director of Strategic Partnerships on COO-related priorities, timelines, and materials
- Own end-to-end logistics for COO-led sponsorships tied to strategic partnerships, including coordination with Marketing and Events on conference presence, materials, schedules, and on-site execution at firm and industry events
- Build, update, and manage decks and materials for:
- Leadership meetings
- Internal COO meetings
- Board preparation support
- External partner meetings (support role only)
- Lead execution and coordination for:
- Townhalls
- Offsites
- COO-sponsored initiatives
Requirements:
- 2-3+ years of experience in executive support, coordination, Finance, operations, or a related role (Alternative Asset Management or Wealth Management preferred)
- Ability to work out of our New York City office 4 times a week
- Exceptional organizational skills and attention to detail
- High EQ, positive attitude and sound interpersonal judgement
- Demonstrated ability to manage multiple competing priorities
- Clear, concise written and verbal communication skills
- Comfortable working with senior leaders and cross-functional teams
- High level of discretion, professionalism, and judgment
- Willingness to learn and operate in a fast-paced, evolving environment
- Familiarity with Microsoft Office, Airtable, Slack, Salesforce and Confluence a plus
CAIS’ compensation package includes a market competitive salary, a performance bonus, and exceptional benefits. If you are located in New York, New York, the base salary range for this role is $90,000 - $120,000. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location.
