Summary

Key Responsibilities:

 

Executive Operations and Time Management

 

  1. Manage the COO’s calendar, travel, and expenses with a high degree of accuracy
  2. Coordinate and schedule internal and external meetings across senior stakeholders
  3. Prepare agendas, briefing materials, and follow-up correspondence on behalf of the COO
  4. Take detailed notes during meetings and capture decisions and key action items
  5. Track deadlines and ensure materials are accurate, current, and delivered on time
  6. Assist with organizational frameworks (e.g., OKRs) across Operations & Client Services and at the firm level, through tracking and coordination
  7. Support additional OpsCS-related work as directed by the COO
  8. Act as a first line of organization and prioritization for the COO’s time and commitments 

COO Office Coordination, Materials and Strategic Support

 

  1. Coordinate closely with the Director of Strategic Partnerships on COO-related priorities, timelines, and materials
  2. Own end-to-end logistics for COO-led sponsorships tied to strategic partnerships, including coordination with Marketing and Events on conference presence, materials, schedules, and on-site execution at firm and industry events
  3. Build, update, and manage decks and materials for:
  4. Leadership meetings
  5. Internal COO meetings
  6. Board preparation support
  7. External partner meetings (support role only)
  8. Lead execution and coordination for:
  9. Townhalls
  10. Offsites
  11. COO-sponsored initiatives 

Requirements:

 

  1. 2-3+ years of experience in executive support, coordination, Finance, operations, or a related role (Alternative Asset Management or Wealth Management preferred)
  2. Ability to work out of our New York City office 4 times a week
  3. Exceptional organizational skills and attention to detail
  4. High EQ, positive attitude and sound interpersonal judgement
  5. Demonstrated ability to manage multiple competing priorities
  6. Clear, concise written and verbal communication skills
  7. Comfortable working with senior leaders and cross-functional teams
  8. High level of discretion, professionalism, and judgment
  9. Willingness to learn and operate in a fast-paced, evolving environment
  10. Familiarity with Microsoft Office, Airtable, Slack, Salesforce and Confluence a plus 

CAIS’ compensation package includes a market competitive salary, a performance bonus, and exceptional benefits. If you are located in New York, New York, the base salary range for this role is $90,000 - $120,000. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and specific office location.
